This is one of the most frustrating parts of working with professional service providers: the ghosting. And it happens more often than you’d think.
The Ghosting Problem Is Real
I’ve heard this story probably 50 times: “My CPA goes completely silent except when they need information from me.”
The pattern is always the same.
During tax season (January-April), your CPA is responsive. They need documents, they want clarity on transactions, they’re asking questions.
You provide everything they ask for.
They file your return and send you a bill.
Then… nothing. Radio silence.
You have a question in June? Good luck. They’re burned out from tax season and not looking at email.
You need something in September? Maybe you’ll hear back. Maybe not.
Is your business setup correct? You’re not sure they’d know if you asked.
Are you paying too much in taxes? Don’t expect proactive guidance.
Do you need a payment arrangement because you can’t afford the tax bill right away? Hope you like voicemail.
And when October rolls around, and you want to start planning for next year? Suddenly they’re available again because tax season is approaching and they want to lock in your business.
It’s a frustrating dynamic. And it’s one reason many business owners feel like their CPA doesn’t really care about their success, only their tax return.

Why CPAs Ghost (And Why It Doesn’t Have to Be This Way)
Before we talk about what to do about it, let’s understand why it happens.
Reason #1: They’re Drowning in Tax Season
Tax season is chaos for CPA firms. November through April is basically one long sprint. Partners and staff are working 60- 70-hour weeks trying to get returns out the door by the deadline.
During this period, they literally don’t have bandwidth for anything other than getting returns filed.
So, emails pile up, and voicemails accumulate. Non-urgent questions get ignored because there’s no time.
This is partly a structural problem with the accounting industry. Most CPA firms are built around the tax season rush, which means they’re stretched thin and reactive for half the year.
Reason #2: They Charge for Emergencies, Not Relationship
Most CPAs charge a flat fee for tax preparation. Once that fee is paid and the return is filed, there’s no revenue for them in continued communication.
So, from a business standpoint, if someone else’s email takes them away from work they’re getting paid for, they’re literally working for free.
It’s a perverse incentive. The system encourages them to ignore you once the return is filed.
Reason #3: They Don’t Have Systems for Continuity
A lot of CPA firms are still operating like it’s 1995. They get busy, they file returns, they wait for next year. There’s no system for year-round communication or follow-up.
No project management software, no task tracking, and no scheduled check-ins. Just react to whatever crisis is happening.
This means that if you don’t reach out, they don’t think about you. And if you do reach out at the wrong time, you get ghosted.
Reason #4: They’ve Got Other Clients
You’re one of dozens or hundreds of clients. Your CPA might genuinely care, but they have limited time and attention.
If they’ve got a corporate client with a $2M tax return due and a small business owner with a question about quarterly payments, guess who gets the attention?
What Ghosting Costs You
It’s easy to dismiss ghosting as annoying but harmless, but it’s not.
When your CPA isn’t responsive, you lose valuable guidance at critical moments.
If you can’t get quick answers to time-sensitive questions, you end up making decisions without professional input.
You don’t get proactive advice about tax planning because they’re not communicating with you.
Maybe you feel like they don’t care, so you don’t invest in the relationship, and communication gets worse.
And ultimately, you end up working with someone who feels more like a vendor (someone you hire once a year for a service) than a partner (someone invested in your success).
What Good CPA Communication Looks Like
For contrast, here’s what responsive CPA relationships look like:
During tax season:
- They’re actively gathering information and asking questions
- They’re responsive to your replies (within 24-48 hours)
- They’re proactively flagging potential issues
- They’re giving you time to gather documents without rushing you
After tax season:
- They schedule a post-filing debrief to review your return and discuss it
- They send you a summary of key numbers and areas to focus on
- They’re available for questions throughout the year
- They make themselves available for ad-hoc issues that come up
- They reach out in the summer/fall to start planning for the next year
During planning season (Oct-Dec):
- They initiate conversations about year-end tax moves
- They give you specific recommendations with timelines
- They help you understand what you’re paying and why
- They coordinate implementation of strategies
Overall:
- They respond to emails within 2-3 business days (at minimum)
- They have a system for tracking questions and following up
- They schedule regular check-ins
- They remember details about your business
- You feel like they care about your success
This doesn’t require them to be available 24/7. It just requires basic systems and respect for your time.
The Types of CPAs (And Which Ones Ghost)
Not all CPAs are ghosters. Some are great communicators, but there’s often a correlation between firm size and ghosting tendency.
Solo practitioners or very small firms (1-3 people): Often great communicators because their business depends on client relationships. If they disappear, clients leave. They know this, so they stay responsive.
Medium firms (5-20 people): This is a mixed bag. Some have great systems, others are chaos. If the leadership is good at project management, communication is usually fine. If not, ghosting is likely.
Large firms (50+ people): They are most likely to ghost. You’re a small account to them. Your CPA is juggling dozens of clients, so you’re not getting personal attention. If you need something, you might get passed around to different people who don’t know your situation.
This isn’t universal, as some large firms are excellent. But the bigger they are, the more likely you’re dealing with a system designed for efficiency, not relationships.
What to Do If Your CPA Is Ghosting
Option 1: Have a Direct Conversation
Start with this: “I’ve noticed I’m having trouble reaching you outside of tax season. I’d like to schedule a regular check-in, maybe quarterly, to stay connected throughout the year. Does that work for you?”
Be direct and specific. See if they’re willing to commit to better communication.
Some CPAs will appreciate the clarity and step up as a result. Others will make excuses or brush you off.
Their response tells you what you need to know.
Option 2: Find a New CPA
If they won’t commit to better communication or if the ghosting continues, find someone new.
There are CPAs who genuinely want to support your business success and who maintain good communication. You deserve one of them.
When you’re looking for a new CPA, interview them about communication expectations:
- How do you typically communicate with clients?
- What’s your response time expectation?
- Do you offer quarterly check-ins or ongoing advisory services?
- How do you handle questions that come up between tax seasons?
- Do you do proactive tax planning or just preparation?
Their answers tell you how seriously they take client communication.
Option 3: Work With Both
